Without a connection between the two, team members spend time searching Drive for files mentioned in Trello cards, or they attach outdated file links to cards when the document has since been updated or moved.
GAIA connects Trello and Google Drive so documents are organized around cards automatically. When a new Trello board is created, GAIA sets up the corresponding Drive folder structure. As cards progress through lists, GAIA attaches relevant files and notifies team members when documents are updated. When a new Trello board is created, GAIA automatically creates a corresponding Google Drive folder with subfolders matching the board's lists, providing an organized document structure from day one.
Auto-attach Drive files to Trello cards
When a file is added to a Drive folder linked to a Trello board, GAIA attaches the file to the appropriate Trello card based on naming conventions or list-to-folder mappings, keeping files accessible directly from the card.
Notify card members when files are updated
When a Drive file attached to a Trello card is modified, GAIA posts a comment on the card notifying the assigned member, ensuring the latest version is reviewed rather than an outdated cached copy.
Deliverable submission workflow
When a team member adds a completed deliverable to a Drive folder, GAIA moves the linked Trello card to the Review list and attaches the file, triggering the review stage without any manual card updates.
Archive project files when cards complete
When a Trello card is moved to Done, GAIA moves associated Drive files to a completed deliverables subfolder, keeping the active project folder clean while preserving all final assets.
