Connect design feedback loops between Gmail and Figma so nothing gets lost in translation

Design review cycles are notorious for feedback fragmentation. Stakeholders send design comments over email because that's the tool they're comfortable with, while designers work in Figma and need feedback directly on the canvas. The result is designers manually transcribing email feedback into Figma comments, stakeholders unsure whether their input was received, and review cycles that drag on longer than they should.

GAIA bridges this gap by connecting Gmail feedback to Figma. When a stakeholder emails design feedback on a specific file or frame, GAIA can add that feedback as a comment on the correct Figma file, tagging the responsible designer. When a designer marks feedback as resolved in Figma or publishes a new version, GAIA can notify the stakeholder by email so they know to review the update.

For product and design teams working with non-technical stakeholders who will never open Figma, this automation means feedback actually lands where designers can act on it—and stakeholders stay informed without needing to learn a new tool.

When a stakeholder emails design feedback referencing a specific screen or flow, GAIA extracts the feedback and adds it as a comment on the relevant Figma file frame, tagging the designer responsible for that section.

When a new version of a Figma file is published or a comment thread is resolved, GAIA sends an email to the relevant stakeholders with a direct link to the updated frame and a summary of what changed.

When a Figma project is marked ready for handoff, GAIA drafts a client-facing email with the file link, export instructions, and any relevant notes from the design brief, ready for the account manager to send.

Feedback aggregation from multiple email reviewers

When multiple stakeholders email feedback on the same design, GAIA consolidates all comments into a single structured Figma comment thread with each reviewer attributed, preventing comment duplication and chaos.

    Connect Gmail and Figma to GAIA

    Authenticate your Gmail account and Figma workspace in GAIA's settings. GAIA accesses Figma files you specify and monitors Gmail for feedback-related email threads.

    Map email conversations to Figma files

    Tell GAIA which email threads or projects correspond to which Figma files. You can link by project name, client name, or specific Gmail label so GAIA routes feedback to the right canvas.

    Feedback flows between email and Figma automatically

    Email feedback becomes Figma comments, Figma updates trigger email notifications, and the review cycle moves forward without designers and stakeholders having to manually bridge the two tools.
